South Systems builds websites and lead systems for home-service businesses in South Africa. This page explains what personal information we collect, why, and what you can ask us to do with it under the Protection of Personal Information Act (POPIA). What we collect
- When you fill in our booking form: your name, business name, trade, area, phone or WhatsApp number, and, if you give them, your email address and current website. We also note which page you sent the form from.
- When you book a call in our calendar: the details you enter in the booking calendar (Calendly), such as your name, email address and the time you choose.
- When you message us on WhatsApp, by email or by phone: your number or email address and what you send us.
- When you visit the site: our hosting provider automatically processes technical information such as your IP address and browser type, to deliver the pages and protect the site from abuse.
Why we collect it and how we use it
We use your information to reply to you, book and hold your call, prepare your free homepage mock-up, and talk to you about our services. If you become a client, we also use it to set up and run your website and systems. We don't sell your information, and we don't use it for anything you wouldn't expect from the enquiry you made.
Who we share it with
Only the service providers we need to run our business, and only for that purpose:
- GoHighLevel, our customer and messaging system, where enquiries and conversations are stored.
- Netlify, which hosts this website and receives the booking form.
- Calendly, which runs the booking calendar on our booking page.
- Our email provider, for emails to and from hello@southsystems.online.
- WhatsApp, if you message us there.
Some of these providers store information outside South Africa, mainly in the United States. We only use providers that protect personal information to a standard comparable to POPIA. We'll also share information if the law requires us to.
Cookies and analytics
Our own pages don't set cookies and don't use analytics or advertising trackers. The site keeps one small note in your browser while you browse (which demo site you opened, so the Back button returns you to the right place). It isn't personal information, and it's cleared when you close the tab. The booking calendar on our booking page is provided by Calendly, which may set its own cookies when it loads. Calendly's own privacy policy covers those.
How long we keep it
If you don't become a client, we delete your enquiry details within 12 months of our last contact, unless you ask us to delete them sooner. If you become a client, we keep your information for as long as we work together, and afterwards for as long as the law requires us to keep business records.
Your rights
Under POPIA you can ask us to:
- Access the personal information we hold about you.
- Correct it if it's wrong or out of date.
- Delete it, where we don't need to keep it by law.
- Stop using it, or object to us using it, including for marketing.
Email hello@southsystems.online or WhatsApp us, and we'll respond as soon as we can. If you're not happy with how we've handled your information, you can complain to the Information Regulator of South Africa (inforegulator.org.za).
Opting out of messages
You can stop our messages at any time. Reply STOP to an SMS, tell us on WhatsApp, use the unsubscribe link in an email, or email hello@southsystems.online. We'll stop straight away.
Keeping it safe
We use reputable providers, keep access to your information to the people who need it, and use secure connections (HTTPS) on this site.
